Initial Situation
In psychiatric care, numerous patient conversations take place every day – from anamnesis to follow-up consultations and assessments such as ADHD diagnostics. The subsequent documentation ties up valuable time of the specialist staff, time that should actually benefit the person, the patient. The IPW was looking for a solution to significantly reduce the administrative effort involved in conversation documentation. This had to meet the highest data protection requirements: these are highly sensitive patient data at cantonal level, whose processing is subject to strict regulations. Common cloud solutions were out of the question due to a lack of data sovereignty and insufficient understanding of Swiss German.
Solution
Development of an AI-powered transcription solution based on Konversa, covering the entire process from recording to the finished report: Recording of patient conversations and automatic transcription – including Swiss German and other Swiss national languages. Integrated speaker diarization reliably identifies multiple conversation participants and correctly assigns the spoken contributions. Building on the transcript, specialized AI agents generate tailored reports such as anamnesis, progress notes or an ADHD assessment. The solution is deliberately designed as a supporting tool: it provides well-founded drafts and structuring, while the final decision and approval always remain with the specialist staff. This creates more time for what matters most – the patient and the person.
Implementation
The solution was developed specifically for the needs of the IPW and consistently designed for Swiss infrastructure. All data processing takes place 100 % in Switzerland, meeting the strict cantonal data protection requirements for highly sensitive patient data. The project is currently in the data protection impact assessment (DPIA) to systematically ensure compliance. This is followed by a gradual rollout to the entire workforce – around 1,000 employees. The architecture is designed so that further functions of the Evoya platform – such as chat features – can be seamlessly added in the future.
Result
With the AI-powered conversation documentation, the IPW significantly reduces the administrative effort involved in writing up conversations. Specialists gain back valuable time that directly benefits the patient – more presence for the person, less documentation effort. The solution demonstrates that even highly sensitive patient data in a psychiatric setting can be processed with AI in a privacy-compliant and secure manner, provided data sovereignty is guaranteed in Switzerland throughout. As a supporting tool, it relieves staff without taking over the professional decision – and lays the foundation for the further expansion of the Evoya platform at the IPW.
