AI in a care home: how Aareperle in Döttingen supports its employees with writing through AI workspaces and workshops

Website of Aareperle, Zentrum der Begegnung Pflege und Betreuung, in Döttingen

Aareperle · Project overview ·

The project at a glance

Aareperle, Zentrum der Begegnung Pflege und Betreuung, is located in the village centre of Döttingen in the canton of Aargau, right on the river Aare. The home offers 87 single rooms and sees itself as the central home for nursing and care in the region.

The Aareperle team is diverse, with different linguistic and professional backgrounds. With Evoya AI, Aareperle has given all employees protected AI workspaces and supported the introduction with workshops in three modules. This lowers language barriers and makes communication within the team and with doctors and specialist services clearer.

Clear communication, internally and with specialist services

Starting point: more writing, not always in the native language

Not all employees at Aareperle speak German as their native language, and some find it difficult to structure information. At the same time, written communication is increasing: internally within the team and externally, for example with doctors and other specialist services. In everyday work, this leads to uncertainty and to texts that are not always easy to understand.

On top of that, AI is developing very quickly. Many employees had heard of it but were unsure what AI can do, where its limits lie and how it can be used sensibly in a care home.

This resulted in two needs: secure, shared access to AI that helps with writing, structuring and translating, and targeted enablement of employees.

Access: AI workspaces for all employees

All employees work in protected AI workspaces on the Evoya platform. There they use AI for their daily tasks:

  • Drafting: keywords become a clear, correct text.
  • Structuring: information is organised clearly.
  • Summarising: long documents are condensed to the essentials.
  • Translating: employees can think in their own language and communicate in German.

This lowers language barriers and makes communication, for example with doctors, clearer, more understandable and more efficient.

Enablement: workshops in three modules

In practical workshops, Evoya AI taught the basics, dispelled uncertainties and showed concrete applications for everyday work at Aareperle.

Module 1: Basics, AI in practice and getting started with the platform. Around three hours for up to 30 participants: what can AI do, where does it take work off their hands, where are the limits and risks? This is followed by an introduction to the Evoya platform.

Module 2: Prompt and agent engineering. A core team of up to ten “AI Champions” learns to phrase requests so that the AI delivers reliable results, and maps recurring tasks, such as revising texts or preparing standard letters, with assistants.

Module 3: Use case mining and process integration. AI Champions and key people analyse core processes and derive prioritised use cases, for example for documentation, communication with relatives, internal information and knowledge search. For selected priorities, first prototypes are created.

Data protection: secure AI in a care home

A care home often deals with particularly sensitive information. That is why everyone works on a shared, protected platform instead of with private accounts, and the workshop clarifies which data is used in what form. Data is processed with Swiss or European AI, in line with the Swiss FADP and the GDPR, and never used for AI training.

Results: clearer texts and a team that uses AI safely

  • Lower language barriers: employees write clear German texts, even if German is not their native language.
  • Better communication: messages to doctors and specialist services are easier to understand.
  • Safe use: the team knows what to use AI for and what to watch out for.
  • Concrete next steps: prioritised use cases and first prototypes for documentation and communication.

A possible next step is intelligent access to internal documents, for example with an AI search on SharePoint, as at Stiftung andante.

Frequently asked questions about the project

All employees work in protected AI workspaces on the Evoya platform. They use AI to draft, structure, summarise and translate texts. Workshops in three modules supported the introduction.

The AI turns keywords into a clear German text, corrects and structures it, or translates from their own language. This lets employees focus on the content.

A structure in three modules has proven effective: basics and getting started with the platform for everyone, in-depth training for a core team of AI Champions, and a module in which concrete use cases for the organisation's own processes are developed.

What matters is a protected platform and clear rules on which data is used and how. On the Evoya platform, data is processed with Swiss or European AI, in line with the Swiss FADP and the GDPR, and never used for AI training.

AI workspaces are protected work areas on the Evoya platform where teams work with AI: with chat, assistants and their own documents. Learn more about the Evoya platform.
